How to Reorder Data Labels in PowerPoint Charts?

Clear and logically ordered data labels are key to making charts easy to read and insights easier to interpret. For example, if you're showing TV channel preferences by age group, you may want to sort the results in ascending or descending order for better comparison.

Since reordering labels manually in PowerPoint is often cumbersome and limited, Chartrics Chart Maker includes a built-in sorting tool that works seamlessly with both raw and calculated data.

Sorting Options in Chartrics

With Chartrics, you can reorder data labels in several ways:
  • Sort by values (ascending or descending)
  • Sort by another variable’s values
  • Sort by source data order
  • Manual sort (custom order)

Sort by Another Variable’s Values

Sort categories based on the value of a different variable (e.g., sort regions by sales volume).

Steps:
  • In Chart Maker, right-click the variable on the Row or Column shelf
  • Select Sort
  • In the Sort dialog:
  • Choose Sort by Variable Category
  • Select Ascending or Descending
  • Pick the variable and category to sort by
  • Click Apply

Sort by Source Data Order

Sort the variable categories based on the order in your original dataset.

Steps:
  • Right-click the variable on the Row or Column shelf
  • Select Sort
  • Choose Sort by Data Source Order
  • Select Ascending or Descending
  • Click Apply

Manual Sorting

Define your own custom order for categories.

Steps:
  • Right-click the variable on the Row or Column shelf
  • Select Sort
  • Choose Manual Sort
  • Select Ascending or Descending
  • Drag and drop the categories into your preferred order
  • Click Apply
