How to Apply Conditional Formatting to Charts in PowerPoint?

Conditional formatting helps you emphasize key values, trends, and thresholds directly within your PowerPoint charts – making insights easier to spot and interpret. Whether you're using structured Excel outputs or raw survey data, Chartrics Chart Maker allows you to apply powerful formatting rules without switching tools or relying on static visuals.

A. Apply Conditional Formatting from Excel-Based Tables

If you're working with formatted Excel tables that already include conditional styles (such as cell shading or color rules), Chartrics allows you to preserve and apply those styles directly in PowerPoint – no need to recreate them.
Steps:
  • In Excel, select the table or cell range with existing conditional formatting
  • Use the Quick Add button to save the range to the Chartrics Table Library
  • Open your PowerPoint presentation and insert or select a chart
  • Launch Chart Maker and assign the saved Excel table to the chart
  • In the assignment dialog, enable the option “Use Excel Color Formatting”
  • Click Apply – the chart will inherit the same formatting as in Excel (e.g., highlights, color gradients, threshold-based rules)
  • This method is ideal for dashboards, KPIs, or recurring reports where Excel formatting is already part of your workflow.

B. Apply Conditional Formatting to Survey or Raw Data (SPSS, CSV, Unprocessed Excel)

When working with raw column-and-row data (such as survey responses or unaggregated datasets), you can create new formatting rules directly in Chart Maker based on any variable or value.
Steps:
  • Insert or select a chart in PowerPoint
  • Right-click the chart and choose Chart Maker
  • Select your raw dataset (SPSS, CSV, or Excel) from the dropdown
  • Drag variables onto the Row and Column shelve
  • Click the Conditional Formatting icon in the left menu
  • In the popup, click New Rule
  • Under Apply to, choose whether to apply the rule to values, categories, or totals
  • Define your condition (e.g., greater than, less than, equal to)
  • Choose a number color, background color, or both
  • Click OK, then Apply to see the result on your slide
